Title: Business Sub-Portfolio Manager - Digital Office HR & Other

Digital Solutions & IT (DSIT) takes responsibility to digitize UD Trucks by leveraging advanced IT to maximize process efficiency and benefits of scale. We partner with business teams to deliver secure, reliable, and valuable digital solutions.
Role purpose
As the Business Sub-Portfolio Manager (BSPM) for HR and other office functions within the Digital Office, your mission is to act as a digital product/portfolio manager. You will define and execute the digitalization roadmap, manage the demand-to-delivery lifecycle, and ensure strong governance, value realization, cost control and risk management across the sub-portfolio.
Portfolio scope (as of now) includes HR, Brand & Communication (B&C), Legal & Compliance (L&C), Real Estate (RES), Audit Office, SPLM, Volvo Penta JP, and common/shared applications such as RPA and Microsoft Forms (M365).
In addition to delivery outcomes, the role is expected to actively contribute to people and capability development across the portfolio and to support DSIT BA Office governance and operational excellence where needed.
Key responsibilities
Product & portfolio strategy
- Establish and maintain a clear product vision, roadmap and capability plan for the sub-portfolio aligned with DSIT strategy and business priorities.
- Drive demand intake, discovery, and prioritization; balance run/change capacity and ensure transparent decision-making.
- Develop business cases, value hypotheses, and high-level solution options; provide recommendations to leadership for approvals.
Governance & delivery oversight
- Guide selection, prioritization, balancing and termination of initiatives to ensure alignment with strategic goals.
- Partner with DSIT Solution Delivery teams to translate demand into deliverables, monitor execution and remove blockers.
- Participate in programs, project reviews, and ensure quality, delivery and financial discipline.
Solution selection, architecture & security
- Co-own solution selection with Solution Delivery; nominate candidate products/solutions and ensure fit-for-purpose outcomes.
- Conduct early security and enterprise architecture pre-checks and ensure required approvals are obtained.
- Ensure compliance with legal, regulatory and data privacy requirements for the portfolio.
Financial management & value realization
- Estimate and manage project and runtime budgets/costs, drive continuous cost efficiency, and support E5/E11 governance decisions.
- Define portfolio KPIs/OKRs and track benefits using practical value metrics and scorecards; provide timely reporting to key stakeholders.
Service continuity (BCP/SCP) & risk management.
- Work with strategic partners to ensure critical applications meet BCP/SCP standards and agreed SLAs.
- Support periodic reviews of partner delivery centers and continuity testing outcomes; raise and manage portfolio-level risks.
Stakeholder management & communication
- Act as primary DSIT interface for HR and other office functions; run regular alignment forums and manage escalations.
- Ensure timely and consistent communication on progress, changes, impacts, risks and decisions with clear ownership.
People & capability development
- Create and drive a competence development plan for the sub-portfolio, including career development and capability roadmaps for key roles.
- Coach and mentor team members and partners across sites contribute to cross-site mentoring and knowledge sharing (guidance and coaching, not performance evaluation).
- Promote a culture of recognition and continuous learning; enable business-side citizen development and adoption of digital tools and ways of working.
Support to DSIT BA Office (governance & operations)
- Support DSIT BA Office activities such as governance pack preparation and committee support, as required by the organization.
- Contribute to audit readiness activities (e.g., audit support and policy documentation) and enterprise risk management plan/report support when needed.
- Support BA Office operational processes such as administration and coordination activities (e.g., event planning/coordination and office administration support) and business operations support (e.g., PO/GR administration support) when applicable.
Vendor & partner management
- Manage vendor performance, contracts/SOWs, and service quality in collaboration with DSIT partners and business stakeholders.
Operating model – BA implementation process (expected)
- Confirm new IT requirements jointly with business stakeholders and DSIT Solution Delivery.
- Fix the product/solution approach or nominate candidate solutions with Solution Delivery.
- Run early pre-check with Enterprise Architecture and Cyber Security (CISO) for feasibility and risk.
- Create rough budget estimates (project + runtime).
- Review estimates and approach with the line manager (Director).
- Support leadership approval via E5/E11 governance.
- Obtain security/EA approvals for the system design.
- Obtain cost approvals (project/runtime) through DSIT Office processes.

Who are you?
We are looking for a business-oriented BSPM with strong leadership, managerial courage, and a product mindset. You have experience working in multicultural environments and can operate across strategy and execution with high integrity. You are also enthusiastic about developing people and building a learning culture across teams and sites.
Required knowledge/experience.
- 10+ years of experience in IT / digital delivery, including portfolio/program/project management and governance.
- Understand HR, Brand & Communication, Legal & Compliance, and Real Estate business needs and convert them into clear digital requirements and outcomes.
- Has built and maintained a portfolio roadmap, prioritized work, and makes tradeoffs based on value, risk, and effort.
- Lead delivery with an Agile/Product Owner mindset—managed backlog, align stakeholders, and driven execution with DSIT teams and vendors.
- Understanding of compliance, security, and continuity readiness; also supported UD governance and operational activities.
- Strong stakeholder management and communication/presentation skills (Japanese and OR English).
- Experience in HR processes and corporate functions (Legal/Compliance, Brand/Communication, Real Estate) and understanding of process interfaces.
- Hands-on experience with solution selection, vendor/partner management, and budget/cost control.
- PMP, Certified Scrum Product Owner, would be added advantage.
- Solid understanding of security, architecture, compliance, and data privacy considerations in enterprise IT.
- Change management and adoption experience in large, multi-regional environments.
- History of coaching/mentoring and developing people through capability building, learning programs, and knowledge sharing.
